Privacy notice

Volvex AI Oy (Y-tunnus 3507135-1, Kurbölentie 130, 06200 Porvoo, Finland) is the controller for the personal data described below. We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and the Finnish Data Protection Act (Tietosuojalaki 1050/2018).

What we collect

We collect the minimum data needed to respond to inquiries: your name, email, and anything you tell us when booking a consultation or emailing us directly. We do not run analytics or advertising trackers on this site at present.

Legal basis for processing

We process inquiry and booking data on two GDPR grounds. Article 6(1)(b) covers steps taken prior to entering a contract: scoping the engagement, sending a proposal, and any follow-up needed to decide whether to work together. Article 6(1)(f) covers our legitimate interest in responding to business inquiries and maintaining records of who contacted us and why. Where processing relies on legitimate interest, you have the right to object (see below).

How long we keep it

We keep inquiry and booking data for up to 24 months after our last contact, and delete it when it is no longer needed. If an engagement begins, we retain related records for the period required by Finnish accounting and tax law (typically 6 years from the end of the relevant calendar year, per the Bookkeeping Act / Kirjanpitolaki).

Booking via Cal.com (cal.eu)

Consultation bookings are handled through Cal.com on the EU instance (cal.eu). Cal.com acts as our data processor for handling the booking, and as an independent controller for its own platform purposes (account, security, product analytics), under its own privacy policy.

International transfers

We do not transfer your personal data outside the EU/EEA. Bookings are handled on Cal.com's EU instance (cal.eu). Cal.com Inc. is a US entity and may transfer limited operational data outside the EU/EEA under the Standard Contractual Clauses adopted by the European Commission, as described in their own privacy documentation.

Your rights

Under the GDPR you have the right to access, correct, delete, and receive a portable copy of the personal data we hold about you. You can also request restriction of processing, and you can object to processing carried out under our legitimate interest. To exercise any of these rights, email ilya@volvex.ai.

Complaints

You have the right to lodge a complaint with the Finnish supervisory authority, the Office of the Data Protection Ombudsman (Tietosuojavaltuutetun toimisto): tietosuoja.fi.
